Hair Extension Quality Control Before International Shipment

Pre-shipment quality control should compare a defined production lot with the approved sample and written specification before the goods are released. The checklist needs product-specific measurements, construction checks, colour assessment, pack counts and an agreed sampling method. It also needs a clear response when something does not match. Record the method and findings for each inspected lot.

QUICK ANSWER

The short answer

Check the finished order against the approved sample: weight, usable length, colour, construction, quantities and packaging. Agree the inspection lot, sampling method, acceptance criteria and person responsible for release before inspection begins. If using AQL, include the applicable sampling plan and defect definitions.

KEY FACTS

What buyers should establish first.

  • Inspect against the approved version, not an earlier sample or informal description.
  • Sampling method and acceptance criteria must be agreed before results are known.
  • Different constructions need different attachment, seam or base checks.
  • Keep dispatch status, inspection records and buyer acceptance as separate order fields.

Define the lot and the release reference

Identify which products and quantities belong to the inspection lot. Separate constructions, shades, lengths and revisions where their criteria differ. A shipment can contain several lots or product lines; one parcel identifier does not make all contents technically equivalent. Keep the approved sample and current written specification available to the inspector.

Confirm who performs the check, who reviews findings and who can authorize release or rework. If an independent inspection is required by the buyer, arrange it explicitly and state its scope. Do not describe a manufacturer’s internal check as independent or infer a complete inspection from a dispatch confirmation.

Choose checks that follow the construction

Weight should use the approved basis: per strand, tape piece, defined weft or pack, bundle, complete set or finished piece. Length needs the agreed starting point and method. Colour needs the retained physical reference and viewing conditions. Construction checks then follow the particular product rather than a generic list applied blindly to every line.

For wefts, review seam, width, section count and applicable edge requirements. For tapes, review tab dimensions, hair distribution and piece count. For strands, review the bond or interface and pack count. For wigs or toppers, include cap/base dimensions, density distribution and relevant attachment or hairline fields.

Agree defect definitions and methods before inspection

A useful defect description connects an observed issue with a specified requirement. Define what counts as a mismatch, how it is measured and how it is classified for the intended plan. Do not change the rule after seeing the batch or use an undefined term such as premium quality as the only acceptance condition.

Some checks are observational, others dimensional, and others may require an agreed performance procedure. Keep their evidence separate. A visual inspection cannot establish a laboratory claim about cuticle retention, and a pack-weight check cannot establish attachment performance. If a required test has not been performed, record it as outstanding rather than implying a pass.

Use AQL only as part of a specified sampling plan

ISO 2859-1:2026 describes acceptance sampling for inspection by attributes using AQL-indexed schemes for lot-by-lot inspection. Applying such a system requires the appropriate plan, lot definition, defect classification and acceptance/rejection rules. An AQL number on its own does not specify the sample size or demonstrate that the inspection followed the standard.

An ISO-based plan needs product-specific requirements alongside the sampling rules. Agree the dimensions, construction checks and performance criteria with qualified inspection support before applying the plan.

Make sampling representative and preserve the evidence

Agree how samples are selected from the lot and how the selection is recorded. Choosing only display pieces or the easiest carton to reach can leave important variation unseen. Follow the approved sampling approach and keep product-line identity intact, especially when a shipment combines colours or constructions.

Retain the inspection record, labelled photographs where useful and the disposition of exceptions. A photograph should show the relevant feature and identify which sample or lot it concerns; it should not be used to imply unseen tests. If destructive or alteration checks are required, agree the quantity and handling beforehand.

Resolve differences before the release decision

When a result differs from the specification, first make the method and evidence reproducible. Confirm the unit, measurement condition and reference version. Then agree whether the item needs rework, replacement, further inspection or a documented buyer decision. Keep any concession specific to the affected lot; it should not silently redefine the future product.

After correction, verify the affected requirement rather than assuming the corrective action succeeded. Record the final release decision and any remaining limits. This process suits controlled B2B production; for a simple catalogue purchase, the scope may be smaller, but product identity and discrepancy responsibility should still be clear.

Prepare a separate inspection brief for each construction. Record the weight basis, colour reference, length measurement method and product-specific checks alongside your approved sample.

Carry the sample evidence into the shipment release record

Carry the sample measurements and approved criteria into the production inspection. Before dispatch, compare the finished order with that reference, record the results and resolve any differences using the agreed release process.

BUYER CHECKLIST

Use this before approving a sample or specification.

  1. Identify the lot and current approved specification.
  2. Agree inspection methods and defect definitions in advance.
  3. Keep sampling and product-specific criteria separate but connected.
  4. Record corrective actions and the actual release decision.

FAQ

Practical questions from B2B buyers.

Does an accepted AQL inspection mean there are no defects?

No. Acceptance sampling is a lot-decision procedure under a defined plan, not a guarantee that every unit is defect-free. The product requirements and the chosen plan must both be understood.

How can I use a dispatched order example when planning my inspection?

Use the product, length, colour and pack details to prepare a similar order brief. Define inspection methods, acceptance criteria and release documentation for your own approved sample and production lot.
